1. Information We Collect

General inquiry form

When you submit the general inquiry form on our homepage, we collect your full name, organization, work email address, selected area of interest, the short description you write, your required acknowledgment of this Privacy Policy, and your optional marketing consent if you choose to give it. We also record the time of submission and the fact that the inquiry came from the homepage form.

Inquiries and consent records are stored in our own secured database, hosted with our infrastructure provider. Access is limited to trusted server-side processing and to Justin Gallucci. We do not store your IP address, browser user agent, or the anti-abuse challenge token in these records.

Abuse prevention

Submissions are protected by Cloudflare Turnstile, a privacy-oriented human verification check, and by rate limiting that uses only a one-way hashed identifier. Cloudflare processes verification data under its own privacy terms. We do not receive or retain a raw IP address in our inquiry records.

Inquiry response processing

To respond to and track inquiries, we transmit your name, organization, work email address, area of interest, description, source context, consent facts, and timestamp to HubSpot, our customer relationship management provider. We do not add you to a marketing list, subscription, sequence, advertising audience, or automated workflow through this form.

Transactional email

We use Resend to deliver the inquiry notification to Justin Gallucci and to send you a short acknowledgment confirming that your inquiry was received. Resend processes this message under its own privacy terms.

Scheduling

The consultation button on this website links to a HubSpot Meetings scheduling page. Any information you enter there, such as your name, email address, and meeting preferences, is collected by HubSpot on that page and processed under its terms as well as this policy. We do not track your click on the scheduling link.

Direct communications

If you contact us by email or another approved communication method, we may receive your name, email address, organization, message, and any other information you choose to provide.

Payments

If online payments are enabled, payment information will be processed by Stripe or another identified payment provider. Advanced AI Solutions may receive limited transaction information, such as your name, email address, payment amount, payment status, and transaction identifier. We do not intend to receive or store complete payment-card numbers through this website.

Technical information

Our website host and security providers may process limited technical information necessary to deliver and protect the website, such as IP address, browser type, device information, request timestamps, and security logs. Advanced AI Solutions does not currently use advertising trackers or behavioral analytics on this website.

We ask only for the details needed to understand your inquiry and reply to it. We do not sell personal information, we do not use inquiry information for behavioral advertising, and we do not use it to train public AI models.

2. How We Use Information

We may use information to:

• Schedule briefings, diagnostics, and other services
• Process approved transactions and provide receipts
• Prepare proposals, agreements, and requested services
• Protect the website and prevent fraud or misuse

We do not sell personal information. We do not use website inquiries for behavioral advertising, and we do not use submitted inquiry information to train public AI models.

3. How We Share Information

We may share limited information with service providers that help us operate the business, including website hosting, business email, scheduling, payment processing, accounting, security, and professional advisory services.

We may also disclose information when reasonably necessary to comply with law, respond to valid legal process, protect rights or safety, investigate misuse, or complete a business reorganization or transfer.

Service providers may process information under their own privacy policies and contractual obligations.

4. Sensitive and Confidential Information

Please do not submit Social Security numbers, complete payment-card information, protected health information, government-restricted information, export-controlled information, trade secrets, or other sensitive or confidential material through general website, scheduling, or payment fields.

Prospective clients should obtain an appropriate written agreement before providing confidential business information.

5. Data Retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to maintain required business and financial records, resolve disputes, enforce agreements, or comply with applicable law. General inquiry records carry a default retention period of two years from submission, after which they are eligible for deletion.

When information is no longer reasonably necessary, we may delete, de-identify, or securely dispose of it, subject to ordinary backup and legal-retention requirements. You can request deletion of your inquiry at any time by emailing justin@advancedai.us with the subject "Privacy Request."

6. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information we handle. No website, email system, payment service, or method of electronic storage can be guaranteed to be completely secure.

7. Your Choices and Privacy Requests

Depending on your location and applicable law, you may have the right to request access to, correction of, deletion of, or a copy of certain personal information.

You may also ask us to stop nonessential communications. To submit a privacy request, email justin@advancedai.us with the subject "Privacy Request." We may need to verify your identity before completing a request.

8. Children’s Privacy

This website and our services are intended for organizations and adults seeking professional services. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

9. Third-Party Services and Links

This website may link to or use third-party services. Their collection and use of information are governed by their own privacy notices. Advanced AI Solutions is not responsible for the privacy practices of independently operated third-party services.

10. Policy Updates

We may update this Privacy Policy to reflect changes in our services, technology providers, business practices, or legal obligations. The "Last updated" date will identify the most recent revision.
